How beauty and nail techs can use AI for aftercare and rebooking

A beauty or nail technician can use AI to write the aftercare messages, patch-test reminders and refill nudges that treatments actually depend on, then send them from your phone between clients. An AI assistant (a chat tool at about £20 a month) drafts each message in your voice from your treatment rules. It does not touch your booking system, so nothing goes out without you seeing it.

The admin that comes with the treatment, not the booking

For hair, the admin is mostly the diary. For lashes, brows, nails and tinting, the treatment brings its own paperwork: a patch test two days before anything with tint or adhesive, aftercare the client has to follow or the work fails early, and a refill that has to land at the right point in the cycle. Get any of it wrong and you get a reaction you should have caught, a set of lashes that drop in a week, or a client who drifts off because nobody reminded them they were due. That is the admin AI is genuinely useful for: the messages, not the treatment.

How do you stop patch tests being forgotten?

Anything with tint or lash adhesive needs a patch test ahead of the appointment, and a first-time client who turns up without one is a booking you have to turn away. Have the assistant draft the message that explains the patch test in plain terms: what it is, when to come in for it, and why it matters, in a tone that reassures rather than alarms. Save it once and send it to every new tint or lash booking.

The honest limit: the assistant does not know who has had a patch test and who has not; it writes the message, you track the client. It cannot make a treatment safe, and it is no substitute for your training or your insurer's rules. When in doubt, your judgement and your policy win.

Write a short message for a new client booked for [treatment] on [day]. Explain the patch test they need first (what it is, when to come in, why), keep it friendly and clear, and tell them how to book the test. Do not invent prices or make medical claims.

How do you send aftercare without typing it out every time?

Every treatment has its own aftercare, and a client who does not follow it blames the work, not the missed step. Keep your aftercare notes for each treatment in one place and have the assistant turn them into a short, friendly message you send the moment the client leaves the chair: what to do, what to avoid, and when to come back. It reads as care, which is what it is, and it quietly protects your reputation.

How do you keep the refill cycle full?

Lashes, nails and brows all run on a cycle, and the money is in the client coming back at the right point rather than when they finally remember. Once a week, list who is due for a refill and have the assistant draft a personal nudge for each. It is the rebooking habit a hair salon uses, but the timing is tighter and the treatment-specific wording matters, so give it the treatment and the client's last date and let it word the reminder.

How do you handle the booking and price DMs?

Beauty runs on Instagram, and it is the same questions on repeat: how much for a full set, how long infills take, whether you do a particular style. Give the assistant your price list and usual answers once and it drafts replies that sound like you. Never let it quote a price you have not given it, and check every figure before it sends.

Where AI still needs you

It does not know your diary, your clients' patch-test history or your insurer's rules, so anything to do with safety or timing stays your call. It writes a wrong instruction as confidently as a right one, so read every aftercare or booking message before it goes. And the voice has to be yours.
